Ordering Sealed Air Packaging? Use This 6-Point Buyer's Checklist
If you're the person who gets asked to order 'some foam board' and then gets blamed when it's the wrong density, this checklist is for you. I'm the office administrator for a manufacturing company, and I've been managing procurement since 2020—roughly 60 to 80 orders a year across 8 vendors. I've made the mistakes, filled out the rejected invoices, and learned why compliance documentation matters. This is the process I now follow.
Before You Order: The 6-Point Checklist
1. Start at the Sealed Air website
Not all foam packaging is Sealed Air, and 'almost the same' is not the same. Sealed Air makes products like Cell-Aire® polyethylene foam and Bubble Wrap® brand cushioning. If you want their product, start at the Sealed Air website and look at the actual technical data sheets. That sounds obvious, but I've seen enough lookalike foam board arrive in a warehouse to know it's not. (Which, honestly, is a fun conversation to have with your inventory manager.)
Once you know the exact product, get the manufacturer's part number and compare it with what your distributor is quoting. You'd be surprised how often a 'similar item' is actually a completely different material.
2. Verify RoHS and REACH compliance before you commit
If your customer sells into the EU, or exports products with electronics, they will probably ask about compliance. RoHS (Directive 2011/65/EU) restricts hazardous substances in electrical and electronic equipment. REACH (Regulation EC No 1907/2006) covers the registration and restriction of chemical substances. It's not enough for a supplier to say 'we're good.' You need a document.
I once had a vendor assure me their packaging was fully compliant. In March 2023, we scheduled a shipment to an EU customer, and when I asked for the test report, they went silent. We caught it in time, but only because I'd requested the paperwork in writing before placing the order. The switch to a supplier that actually provided Sealed Air RoHS REACH compliance packaging cost us about a week. Missing the customer's launch would have cost a lot more.
'If it's not on paper, it's not real.' That rule has saved me more than any product knowledge.
3. Check the polyurethane foam density
The single most useful number on a foam spec sheet is density. For flexible polyurethane foam, density is measured in kilograms per cubic meter (kg/m³) or pounds per cubic foot (lb/ft³). Low-density foam, under about 20 kg/m³, is soft and springy. Higher density, closer to 30 kg/m³ or more, is firmer and better at absorbing impact. If the supplier can't tell you the density, that's a red flag. Don't let them hide behind 'premium foam' or 'super cushion.'
Here's where I admit my own mistake: I once ordered a batch of polyurethane foam based on color and thickness. It looked right and felt right in the showroom sample. Then the actual shipment arrived, and it crushed under a 30-pound subassembly. The density was lower than the spec I'd assumed. The test method for apparent density of cellular plastics is ISO 845, and ASTM D3574 is the common one for flexible urethane foam. Ask for that value, not just a few adjectives.
(If you're buying Sealed Air's Cell-Aire®, that's polyethylene foam, not polyurethane. Same rule: check the datasheet. Don't hold me to the exact density—get it from the supplier.)
4. Learn how to cut through foam board
When you're building a protective insert, you'll need to cut foam board to size. How to cut through foam board? Use a sharp serrated blade or a hot wire cutter. A regular utility knife pushes through by crushing the foam cells, leaving a rough edge and loose debris. If you have a lot to cut, a table saw with a fine-tooth blade works too—but don't press hard. Score lightly and take multiple passes.
I didn't fully understand this until we received a second batch of foam board that was 10% denser than the first. Same supplier, same order code, different cutting behavior. The workman used the same knife, and the result was a mess. After that, I started requesting sample cuts and testing them myself. The sample is meant to close the sale, not to prove the product.
One more thing: if you use a hot wire cutter, do it in a ventilated area. The fumes are not something to treat casually.
5. Compare total cost, not the unit price
When I first started buying, I chased low quotes. I learned the hard way that the final invoice is where things get interesting: freight, minimum order quantities, short-ship costs, and expedite fees. In my experience, a cheap quote is cheap only if everything goes right.
There's a particular situation where I'm willing to spend extra: urgency.
In October 2024, we paid $400 extra for rush delivery of a protective packaging order. The alternative was missing a $15,000 trade show shipment. The rush fee was annoying. The missed show would have been catastrophic. I'd argue that what you're paying for isn't speed—it's certainty. 'Probably on time' is no way to run a launch.
When a supplier promises a deadline, ask them to put it in writing and include the consequence for missing it. If they won't, add a cushion.
6. Don't forget the tank o-ring seal
This one feels off-topic until you've had production stop because of a leaking fitting. If your facility uses a tank—for coolant, deionized water, or a heated bath—the tank o-ring seal is as important as any foam insert. And it's often ordered by the same person (you).
Don't assume a black rubber ring is a black rubber ring. O-rings come in different compounds: NBR (Buna-N) for oil resistance, EPDM for water and weather, FKM/Viton for heat and chemicals. The hardness matters too—a 70-durometer seal behaves very differently from a 90-durometer seal. The AS568A standard covers sizes for inch-profile o-rings. If you don't know the compound or size, ask an engineer before you buy. A seal that's 'close' will leak eventually.
What I'd Do Differently If I Were Starting Over
If I could go back to 2020 and give myself a note, it would be this:
- Don't trust 'compliant' without a document. The vendor who couldn't produce a test report made me look bad in front of my VP for a week.
- Cut the sample before you order. A supplier sent me a beautiful sample that was nothing like the production run. They promised it was 'the same material.' It wasn't. (Surprise, surprise.)
- Don't skip the seal spec. The same logic that applies to polyurethane foam density applies to tank o-ring seals: material, durometer, size. If you don't specify it, you'll get whatever was cheapest.
- Budget for certainty in a crisis. After getting burned twice by 'probably on time' promises, I now pay for guaranteed delivery when the date matters.
There's something satisfying about an order that shows up on time, with the right density, compliance paperwork included, and no surprises. After a few expensive lessons, I don't trust luck. I use a checklist.
